AIVI Labs SEZC ("AIVI Labs," "we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights in relation to it.
Our services are business-to-business in nature — we primarily collect information about dental and healthcare practices, not individual patients. If you are a practice owner, office manager, or marketing professional using our products, this policy applies to you.
02 Information We Collect
We collect information in two ways: information you provide directly, and information collected automatically.

03 How We Use Your Information
We use the information we collect to:
- Deliver your audit report and fix pack PDFs
- Send transactional emails related to your order (confirmation, delivery, support)
- Communicate about product updates or new offerings relevant to your practice (you may opt out at any time)
- Improve the accuracy of our scoring methodology and product quality
- Comply with legal obligations and resolve disputes
We do not use your information to make automated decisions that have legal or significant effects on you.
05 Payment Data
All payment processing is handled by Paddle.com Market Limited, which acts as the Merchant of Record. AIVI Labs does not receive, store, or process your credit card details. Paddle's Privacy Policy governs how your payment data is handled.
We receive a limited confirmation from Paddle upon successful payment (e.g., order ID, product purchased, email address) solely for the purpose of fulfilling your order.
07 Data Retention
We retain your personal information for as long as necessary to fulfill the purposes described in this policy, or as required by law. Specifically:
- Order records and contact details are retained for a minimum of 5 years for accounting and legal purposes
- Audit scan data (crawled website content and scores) is retained for up to 24 months
- Marketing email opt-out preferences are retained indefinitely
You may request deletion of your personal data subject to the exceptions noted in the Rights section below.
08 Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate information
- Deletion — request deletion of your data, subject to legal retention requirements
- Opt-out of marketing — unsubscribe from marketing emails at any time via the link in any email
- Data portability — request your data in a portable format (where applicable)

If you are located in the European Economic Area (EEA) or United Kingdom, you may also have rights under the GDPR or UK GDPR. Our legal basis for processing is typically contract performance (to deliver your order) and legitimate interest (to improve our services).
09 Security
We implement reasonable technical and organizational measures to protect your personal information from unauthorized access, loss, or disclosure. This includes encrypted data transmission (HTTPS), access controls, and secure third-party processors.
No method of transmission over the internet is 100% secure. While we take appropriate precautions, we cannot guarantee absolute security.
10 Children's Privacy
Our services are intended for business use by adults (18+). We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal data, please contact us immediately.
11 Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective date" at the top of this page. For significant changes, we may also notify active customers by email.
Continued use of our services after a change constitutes acceptance of the updated policy.
